Privacy Policy

This Privacy Policy describes how Renido (operating at renido.info, address: Wodna 2C, Kraków, Poland, contact: [email protected]) collects, processes, stores, and protects personal data in connection with the operation of this website and the delivery of negotiation workshops. Processing is carried out in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (the General Data Protection Regulation, "GDPR") and the Polish Act of 10 May 2018 on the Protection of Personal Data (Dz.U. 2018 poz. 1000, as amended).

The data controller responsible for personal data processed through this website is Renido, with its registered place of business at Wodna 2C, Kraków, Poland. For all data protection matters, the controller can be reached at [email protected] or by post at the address above. There is no designated Data Protection Officer; enquiries should be directed to the contact address provided.

Renido collects the following categories of personal data depending on how you interact with this website:

  • Contact form data: name, email address, and the content of your message when you submit an enquiry.
  • Newsletter subscription data: email address provided when subscribing to workshop updates.
  • Technical data: IP address, browser type and version, operating system, referring URL, pages visited, and timestamps — collected automatically through server logs and, where consent is given, through analytics tools.
  • Cookie data: identifiers stored in your browser as described in our Cookie Policy. This may include preferences, session data, and analytics identifiers.

Renido does not collect special categories of personal data as defined in Article 9 GDPR (such as health data, racial or ethnic origin, political opinions, or biometric data).

Personal data is processed for the following purposes, each with its corresponding legal basis under Article 6 GDPR:

  • Responding to enquiries (Art. 6(1)(b) GDPR): Contact form submissions are processed to take steps at the request of the data subject prior to entering into a contract or to respond to a general enquiry.
  • Workshop administration (Art. 6(1)(b) GDPR): Where a workshop booking is made, data is processed to fulfil the contractual relationship.
  • Newsletter communications (Art. 6(1)(a) GDPR): Email communications regarding workshop schedules and updates are sent on the basis of your freely given, specific, and informed consent, which may be withdrawn at any time.
  • Website analytics (Art. 6(1)(a) GDPR): Where you have given consent via the cookie consent mechanism, anonymised or pseudonymised usage data may be processed to understand how visitors use the website.
  • Legal obligations (Art. 6(1)(c) GDPR): Data may be retained where required by applicable Polish or EU law, including accounting and tax obligations.
  • Legitimate interests (Art. 6(1)(f) GDPR): Server log data is retained for a limited period for security purposes, fraud prevention, and to maintain the technical integrity of the website. This interest does not override your fundamental rights and freedoms.

Personal data is retained only for as long as necessary for the purpose for which it was collected, or as required by law:

  • Contact form enquiries: Retained for up to 12 months following the close of the enquiry, unless a contractual relationship arises, in which case standard contract documentation retention periods apply.
  • Newsletter subscriber data: Retained until you withdraw your consent to receive communications. Withdrawal does not affect the lawfulness of processing prior to withdrawal.
  • Server logs: Retained for up to 90 days for security and diagnostic purposes, then deleted.
  • Financial and contractual records: Retained for the period required under Polish tax and accounting law, currently five years from the end of the calendar year in which the obligation arose.
  • Cookie data: Retention periods vary by cookie type and are described in detail in the Cookie Policy.

Renido does not sell personal data to third parties. Data may be shared with the following categories of recipients in the course of normal operations:

  • Hosting and infrastructure providers: The website is hosted on servers operated by a third-party hosting provider. This provider acts as a data processor under a data processing agreement and may have access to server log data.
  • Email service providers: Where email communications are sent using a third-party email platform, that provider processes email addresses as a data processor.
  • Analytics providers: Where consent has been given, anonymised or pseudonymised data may be shared with analytics services. No personally identifiable information is transmitted without consent.
  • Legal and regulatory authorities: Data may be disclosed to Polish public authorities, courts, or regulatory bodies where required by applicable law or a binding legal order.

Where data is transferred outside the European Economic Area, Renido ensures that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, or that the transfer is to a country with an adequacy decision under Article 45 GDPR.

As a data subject under GDPR, you have the following rights in relation to your personal data:

  • Right of access (Art. 15 GDPR): You may request confirmation of whether we process your personal data and, if so, a copy of that data along with supplementary information.
  • Right to rectification (Art. 16 GDPR): You may request correction of inaccurate personal data or completion of incomplete data.
  • Right to erasure (Art. 17 GDPR): You may request deletion of your personal data where the data is no longer necessary, where consent is withdrawn, or where processing is unlawful, subject to applicable exceptions.
  • Right to restriction of processing (Art. 18 GDPR): You may request that we limit processing of your data in certain circumstances.
  • Right to data portability (Art. 20 GDPR): Where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, commonly used, machine-readable format.
  • Right to object (Art. 21 GDPR): You may object to processing based on legitimate interests at any time. Processing will cease unless we demonstrate compelling legitimate grounds that override your interests.
  • Right to withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

To exercise any of these rights, contact us at [email protected]. We will respond within one month of receiving your request. If your request is complex, we may extend this period by a further two months, notifying you accordingly. Exercising your rights is free of charge unless requests are manifestly unfounded or excessive.

If you consider that the processing of your personal data infringes GDPR or Polish data protection law, you have the right to lodge a complaint with the competent supervisory authority. In Poland, the supervisory authority is:

You may also lodge a complaint with the supervisory authority of the EU member state in which you habitually reside, work, or where the alleged infringement took place.

Renido implements appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. These measures include the use of HTTPS encryption for data transmitted through this website, access controls limiting who can access personal data, and regular review of data handling practices. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the UODO without undue delay and, where required, notify affected individuals directly.
